Executive Assistant
Purpose
This is not a traditional Executive Assistant role—it’s a high-impact partnership. You'll optimize the CVO's time, manage high-level priorities, and proactively navigate the complexities of schedules, travel, and business commitments. You will ensure seamless communication, decision-making, and execution of key initiatives.
The ideal candidate embodies CID’s core values and thrives in a dynamic, fast-moving environment. This role requires emotional intelligence, discretion, and impeccable judgment, ensuring CVO's personal and professional worlds function effortlessly.
This position is located in office at our primary studio in Bonita Springs, Florida
Roles & Responsibilities
- Own CVO’s complex and ever-evolving calendar, ensuring high-priority work is protected and aligned with business objectives.
- Manage scheduling with a discerning eye, saying no when necessary and ensuring that every meeting serves a clear purpose.
- Prepare Jenn before every meeting by researching new clients, investors, and business partners, providing Jenn with critical insights, relevant briefs, research, and key talking points.
- Manage CVO expense reports, professional licensing renewals, and other administrative tasks in collaboration with CID’s finance processes.
- Balance Jenn’s role as business leader, creative entrepreneur, and mother, ensuring protected family time.
- Providing executive-level administrative partnership to assigned leaders (not just founders), including calendar management, meeting logistics, travel coordination, and preparation for high-impact internal and external engagements – like All Hands, Quarterly Leadership Meetings, etc.
- Full-service travel management—flights, hotels, cars, itineraries, restaurant reservations, and emergency travel troubleshooting. Research and select design-forward accommodations that align with CID’s hospitality aesthetic and brand.
- Serve as a trusted extension of Jenn in written and verbal communication, focusing on discretion, professionalism and relationship driven connection with key clients, investors, and stakeholders.
- Manage, track, and advance, Jenn’s key initiatives, ensuring follow-through.
- Act as a trusted thought partner, anticipating CVO and Integrator needs and providing solutions before problems arise.
- Partner with the Culture & Events Team on internal company experiences and events.
- Work very closely with Jenn’s other support professionals—this role requires collaboration, not ego.
